Connect Zoom for meeting notes
Connect Zoom so the note taker can join your Zoom calls, find your transcript and notes, and disconnect or remove the app.
Connect your Zoom account to Kepler so the note taker can join your Zoom calls, the same way it joins Google Meet and Microsoft Teams. Kepler records and transcribes the call and writes structured notes in your recruitment workspace.
Before you connect
- You need a Kepler account and access to your workspace at app.keplercrm.com.
- Connect the Zoom account you join your meetings with. Zoom only lets the note taker in while that account is in the meeting.
- Your Zoom administrator may need to approve the Kepler app before you can authorize it.
Zoom is still reviewing the Kepler app, so Zoom connections are open to a limited number of workspaces for now. If the Zoom row says Coming soon. Zoom is reviewing the Kepler app., there is no Connect button yet for your workspace. The note taker still joins your Google Meet and Microsoft Teams calls.
Connect Zoom
- Sign in to Kepler and open Settings → Note taker.
- Turn on the note taker with the switch at the top of the page, and accept the Note taker terms if asked. The Zoom row appears once it's on.
- In the Zoom row, select Connect.
- Sign in to Zoom, review the requested permissions and authorize KeplerCRM. If your organization requires approval, ask your Zoom administrator to approve the app.
- Return to Kepler. The Zoom row shows Connected.
Capture a meeting
- Under Settings → Note taker, check that the note taker is on and choose Which meetings to record.
- Make sure the meeting is on your connected calendar with its Zoom link. Kepler checks your calendar for new meetings every 15 minutes.
- Join the meeting. The note taker joins on your behalf as a visible participant, under the name set in Guest name in Meet and Teams (Zoom uses the same name). Admit it from the waiting room if Zoom asks.
- If Zoom asks the host to allow the note taker to record, select Allow. Tell the attendees that you will record the meeting and obtain any required consent.
- When the meeting ends, Kepler processes the transcript and writes the meeting notes.
Send the note taker without connecting a calendar
- Connect Zoom and turn on the note taker in Settings → Note taker.
- Start or join the Zoom meeting with the same Zoom account you connected.
- Open Calls, select Send note taker, paste the meeting's invite link, and send.
- Admit the note taker from the waiting room and allow recording when Zoom requests it. Tell attendees about recording and obtain any required consent.
The note taker attempts to join immediately. Paste a meeting link of the form zoom.us/j/…; personal-room and webinar links aren't accepted. Keep the authorized Zoom user in the meeting. After the meeting, find the recording, transcript and notes under Calls.
Find the transcript and notes
Open Calls in Kepler to find the meeting and its processing status. Open the completed meeting to read its structured minutes and transcript. Meeting notes can be linked to the relevant candidate, client and job records. Where available, playback uses a secure, short-lived link.
The Template under Settings → Note taker controls how Kepler writes the minutes. See AI Note Taker for meetings for the wider meeting workflow.
Disconnect Zoom in Kepler
- Open Settings → Note taker.
- In the Zoom row, open Manage, select Disconnect, then confirm Disconnect. (The same menu has Reconnect if the connection needs refreshing.)
- Check that the row shows Connect again.
Disconnecting stops the note taker joining your Zoom calls and deletes the stored Zoom authorization. Existing notes and recordings stay in the workspace; disconnecting does not delete them. If Kepler says Zoom access was not removed, also remove the app in Zoom using the steps below.
Remove the app from Zoom
- Sign in to the Zoom App Marketplace with the account you connected.
- Open Manage → Added Apps and find KeplerCRM.
- Select Remove and complete Zoom’s removal prompts. If an administrator added the app for you, contact them if you cannot remove it yourself.
Removing the app in Zoom also disconnects it in Kepler. See Zoom’s app removal instructions for the current Marketplace controls.
If a meeting is not captured
- Check that the Zoom row shows Connected and that the note taker is turned on.
- Check that the meeting is on your connected calendar with its Zoom link, and that you joined it with the Zoom account you connected. The note taker waits up to 5 minutes to be let in.
- Check Which meetings. External only excludes meetings without an external attendee.
- Look under Calls for the meeting’s status. Denied entry means the note taker wasn't let in; Failed means it couldn't finish processing the meeting.
Data and support
To provide the integration, Kepler keeps your Zoom user and account identifiers, meeting recordings, transcripts and notes. Your Zoom authorization is stored encrypted by Attendee, our meeting recording provider, and is used only to let the note taker join meetings on your behalf. Our Privacy Policy explains processing, retention and data rights; our Terms of Service cover use of Kepler.
For connection, removal or data questions, email support@keplercrm.com or visit the Help Center. Include the approximate meeting time and any error message, but do not send passwords or OAuth tokens.
