# Sending email from Kepler

> Compose and reply from your connected account, with templates, your signature and attachments.

_Collection: Email, Calendar & Meetings (email-calendar) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/sending-email/_

With a Google or Microsoft account connected, you can send and reply to email without leaving Kepler — from the Communications page or straight from a record. Messages send from *your* address and thread normally in recipients' inboxes.

## Composing

  - Click **Compose** on the **Communications** page (or reply inside any thread).

  - Pick the **sending account** if you have more than one connected.

  - Add recipients, a subject and your message — the editor supports rich text formatting.

  - Attach files if needed (up to **25 MB** in total per message) and send. The paperclip also offers **Attach from Kepler**, for files already stored in Kepler, such as a candidate's CV.

Sent messages sync back like any other thread and attach to the matching records.

## What the composer supports

Cc and Bcc, **Insert template**, **Write with AI**, **Insert booking link** (see [Booking pages](/support/articles/booking-links/)) and **scheduled sending**. A scheduled message is marked **Scheduled** on its thread until its send time; choose **Cancel scheduled send** to keep it as a draft instead.

## Emailing several people

  - Select people in a candidate, contact or pipeline table, then choose **Email** from the selection toolbar. You need a connected sending account. You can select up to **200 people** at once.

  - Choose your sending account and write the subject and message. Each person receives a separate email, with replies in their own thread.

  - Review the recipient list. People may be skipped because they have no usable address, are marked Do not contact or unsubscribed, or share a duplicate address. The dialog shows the reason; **Remove skipped** clears those people from this send.

  - Use the arrows in **Preview** to check how the message and merge fields read for different recipients, including any blank fields.

  - Send now or schedule the batch. Follow its sending progress; queued emails may be spread over time.

## Templates

Save the messages you send repeatedly — interview invites, CV submissions, rejections — as **email templates** under **Settings → Templates**, on the **Email** tab. Choose **New template** and fill in:

  - **Template name**, an optional **Subject** and the **Message**.

  - **Client**: leave it empty for a team-wide template, or pick a client to make it that client's own.

  - **Purpose**: Interview invite, CV submission, Rejection, Offer, Follow-up or General. An interview invite can also name a **Round**, such as First round or Final round.

  - **Who can use it**: **Only me**, or everyone in the workspace. Client templates are always shared, so every consultant on the account sends the same thing; admins and the author can edit them.

Type `{{` in the subject or message to insert a merge field, such as the candidate's first name, the job title or the interview date. A field with nothing behind it is left blank, and the composer tells you which ones came out empty.

In the composer, **Insert template** lists your templates; one made for the stage you're writing about is marked **Matches stage**. A client's templates are also listed on its company page, on the **Templates** tab, with what each purpose falls back to when the client has none of its own.

Admins can also turn on **Draft an interview invite when an interview is scheduled** at the top of the Email tab. Kepler then drafts the invite from the client's Interview invite template for that round; the draft waits in **Drafts** until someone sends it.

## Your signature

Set your **email signature** under **Settings → Email & signature**. It's added to every email and reply you send from Kepler. Use **Signature for** to give each connected inbox its own signature, or leave an inbox on **Default (all inboxes)**; when you change the From address in the composer, the signature changes with it.

After you connect a mailbox, **Settings → Connected accounts** may offer **Use your Gmail signature in Kepler?** (or your Outlook one). Choose **Use this**, **Edit first**, or **Not now**, which keeps it waiting under Email & signature in case you change your mind. A signature is a good place for your [booking link](/support/articles/booking-links/).

> **NOTE:** Kepler sends only when you click Send or explicitly schedule a message. Scheduled messages send automatically at the time you chose, unless you cancel them first.
