# Managing tasks

> Create, assign and complete tasks — and triage the tasks AI suggests from your conversations.

_Collection: Tasks, Notes & Lists (productivity) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/managing-tasks/_

Tasks are Kepler's to-do layer for follow-ups, reminders and prep work. Tasks can stand alone or link to records; manage them from the **Tasks** page, from the Tasks tabs on candidates, contacts, companies and jobs, or inline from an application drawer.

## Creating tasks

  - From **Tasks** — choose **Create task** (or press `N`) and set a title, assignee, priority, due date and linked records.

  - From any record's **Tasks** tab — type in the **Add a task** box at the top; the task is linked to that record.

  - From the **application drawer** — add and complete follow-ups inline while working the pipeline.

  - From a **logged call** — fill in **Follow-up task** when you log the call and it lands on your task list, linked to the call's records; see [Working with notes](/support/articles/working-with-notes/).

  - **Automatically** — placement date changes (aftercare, guarantee, extensions) create reminder tasks; see [Fees, aftercare & billing](/support/articles/fees-aftercare-and-billing/).

  - **By AI suggestion** — see below.

## Suggested tasks

Kepler reads your meeting transcripts for commitments — "I'll send the shortlist Friday", "chase the client after the offer call" — and proposes them as **suggested tasks**. It can read new emails with your contacts and companies too: an admin turns that on under **Settings → Automations** › **AI suggested tasks** › **Emails** (off by default; newsletters and auto-replies are skipped). Each suggestion shows its **source** (the meeting or email it came from), the **records** it concerns, a proposed **assignee** and **due date**.

Suggestions appear in [Notifications](/support/articles/notifications/) and in the Tasks list, banded under "suggested by Kepler" inside the due-date section they belong to. **Accept** one to turn it into a real task, dismiss it, or open it to edit the details first; with several in a band, **Add all** and **Dismiss all** act on the lot. Suggestions never become tasks by themselves.

## Working your task list

Use the scope menu to choose **My tasks**, **Everyone’s tasks**, **Unassigned** or a teammate. Switch between **Open**, **Done** and **All** to find work by completion state. Kepler remembers both choices for each workspace.

  - Filter by status, **priority**, assignee and due date — including quick slices for **Overdue**, **Due today**, **Next 7 days** and **No due date**.

  - Filter by **Source** to show only **Campaign** tasks (steps a campaign is waiting on) or **Manual** ones.

  - Sort from the sort menu or by clicking a column header.

  - Check tasks off as you go; overdue tasks are flagged. Completing tasks shows one running count with **Undo** (or press `Cmd/Ctrl + Z`), and undo puts each task back to the status it had. The [Dashboard](/support/articles/understanding-the-dashboard/) also lists overdue tasks and tasks due today, with later tasks under Upcoming work.

## Bulk edits

Tick tasks to select them; `Shift`-click selects a range. The selection bar at the bottom offers **Complete**, **Status**, **Priority**, **Assign**, **Due date** (Today, Tomorrow, Next week, a date you pick, or Clear due date) and delete. Changes show on the rows at once while Kepler saves them; if the save fails, the rows go back as they were and Kepler says so. A bulk complete can be undone like a single one.

## Working on the board

Switch from list to board with the view switch, then use **Group by** to organise tasks by **Status**, **Due** or **Assignee**. Moving a card changes the field represented by its destination column: use status columns to move work from To do to In progress or Done, or assignee columns to hand work to someone else.

With due-date grouping, moving a task to **Today** sets it due today, **Upcoming** sets it due tomorrow, and **No due date** clears the date. You cannot drag a task into Overdue. Open the task to set a specific date.

## Keyboard shortcuts on the task list

These work on the **Tasks** page in list mode, when you're not typing in a field:

| Shortcut | Action |
| --- | --- |
| N | Add a task |
| ↑ / ↓ | Move the row cursor |
| Shift + ↑ / Shift + ↓ | Extend the selection |
| X | Select or deselect the cursor row |
| C | Complete or reopen the cursor row |
| Enter | Open the cursor row for editing |
| Cmd/Ctrl + Z | Undo the last completions (list or board) |

> **TIP:** Let the calendar drive same-day work and tasks drive everything else. If it has a time, it's a meeting; if it has a deadline, it's a task.
