# Managing contacts

Contacts are the people you sell to and take briefs from — hiring managers, HR partners, founders. Each contact links to a company and accumulates their own history of emails, notes, tasks and meetings.

## Creating contacts

Contacts can be created several ways:

  - **Manually** — from the **Contacts** page, or from a company's Contacts tab (which pre-links the company).

  - **From email** — depending on **Settings → Record capture**, people your team corresponds with become contacts automatically.

  - **From LinkedIn** — save a profile as a contact in one click with the [Kepler Chrome extension](/support/articles/linkedin-chrome-extension/).

  - **By CSV import** — see [Importing your data](/support/articles/import-your-data/).

  - **By AI suggestion** — Kepler may propose new contacts it spots in conversations; these arrive in [Notifications](/support/articles/ai-suggestions/) for approval.

## The contact page

A contact page has tabs for **Overview, Communications, Calls, Notes, Tasks, Lists, Files and History**. The Overview includes a preview of the *open* roles at the contact's linked company; there are no separate Jobs or Interviews tabs. The **Communications** tab shows threads matched to the contact's email address from every connected account you're allowed to see.

Title, owner, email, phone, location and LinkedIn sit in the **Details** panel: click **Details ›** at the end of the tab row to open it (on a small screen, **Details** is in the bar at the bottom). Comments, @mentions and name hover cards work as they do on candidates — see [Managing candidates](/support/articles/managing-candidates/).

## Linking contacts to companies

Open the contact's **Details** panel and click **Link a company** under **Company**. Once linked:

  - The contact appears on the company's Contacts tab.

  - Their conversations contribute to the company's Communications tab.

  - They become selectable as the client contact on the company's jobs.

## Keeping data fresh

Contacts go stale fast in recruitment. Kepler's AI watches synced conversations for signals — a new job title in a signature, an out-of-office announcing a move. What it does with a value it finds depends on that field's **Rule** (see [Custom fields](/support/articles/custom-fields/)): with **Fill blanks**, the default, it fills an empty field on its own, with Undo; a change to a value that's already there always goes to [Notifications](/support/articles/ai-suggestions/) for you to approve.

When a contact has a LinkedIn profile on their record, **Update from LinkedIn** in the Details panel (or the refresh icon that appears beside their name when you hover their row in the Contacts table) refreshes their title, employer and location from LinkedIn. It uses 1 credit, and only when something changed; the result shows with **Compare** and **Undo**. To fill a missing email or phone, use **Find details** — see [Managing candidates](/support/articles/managing-candidates/).

> **NOTE:** A person can be both a contact and a candidate (the hiring manager you place next year). Kepler keeps these as separate records with separate histories, and email threads can appear on both.
