> Use job statuses, closed reasons and the job header to run an honest job list.

## Job statuses

Every job carries a workspace-defined lifecycle status that drives lists, dashboards and reports. New workspaces start with Draft, Open, On hold, Filled, Cancelled, Lost and Closed. Keep it current — your **Jobs** page is only as useful as its statuses are true.

Moving a job to a closed status — on the job page, in the Status cell of the Jobs table, or by dropping its card on the Jobs board — asks why (for example *Why was it lost?*) and saves the answer as the job's **Closed reason**, which feeds win/loss reporting. The default reasons are Lost to competitor (offered only when a job is lost), Role withdrawn, Budget removed, Duplicate and Other.

Anyone who can edit jobs (by default Owners, Admins and Team leads) configures both in the **Job statuses** section of **Settings → Jobs & pipeline**. Statuses are grouped as Draft, Open, On hold and Closed — the group decides how reports count a job. From a status's **⋯** menu you can rename it, add a description, change its **Tone** (colour), move it to another group, make it the **Default for new jobs**, archive it or delete it (the default can't be archived or deleted). Edit the **Closed reasons** list under the Closed group.

## Keep jobs and candidates in step

At the end of **Settings → Jobs & pipeline**, **Keep them in step** holds two built-in rules. Both are off until a workspace admin turns them on:

  - **Mark the job Filled when every opening is placed** — when a placement means every opening on an open or on-hold job is filled, the job moves to **Filled** without asking for a closed reason. It needs your workspace's Filled status (renaming it is fine; archiving or deleting it stops the rule).

  - **When a job closes, reject its active candidates** — moving a job to any closed status rejects every candidate still active on it with the reason *Role closed*. Placed, rejected and withdrawn candidates are left alone, and no email is sent.

Both rules also appear in **Settings → Automations**, where you can see what they've done.

## The job header

The top of each job shows its status, client, core details, opened date, candidate count and placed count. Open **Pipeline** for stage distribution and movement detail.

## Working your job list

  - Build a [saved view](/support/articles/views-filters-and-sorting/) of open jobs sorted by priority for your daily run-through.

  - Use a **Board** view grouped by status for a board-level view of the desk.

  - The dashboard surfaces open roles that need attention, each with the reason why. See [Understanding the dashboard](/support/articles/understanding-the-dashboard/).

## Statuses vs stages — don't mix them

The **job status** describes the vacancy (open, on hold, closed). **Pipeline stages** describe each candidate within it. A job stays open while its candidates move; close the job when the role itself is done.
