# Inviting your team

> Send invitations, assign roles, and manage pending invites and seats.

_Collection: Getting Started (getting-started) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/invite-your-team/_

Bring your colleagues into the workspace from **Settings → Members** — or choose **Invite members** from the workspace menu at the top of the sidebar.

## Sending an invitation

  - Open **Settings → Members**.

  - Click **Invite members** beside the seat count to open the **Invite teammate** dialog, and enter their email address.

  - Choose a role — see [Roles & permissions](/support/articles/roles-permissions/) for what each role can do.

  - Click **Create invite**. Kepler emails them the invitation, and the dialog shows the invite link so you can copy it.

## What your teammate sees

The invite link opens a **Join** page with your workspace's name, their role and who invited them.

  - **New to Kepler:** they choose **Email me a password link**, set a password from that email (the link works once, for one hour) and join straight after.

  - **Already have a Kepler account:** they sign in with the invited email address and join.

The invite only works for the email address it was sent to.

## Managing pending invites

The **Pending invitations** section lists invites that have been sent but not yet accepted, with their role and expiry date. Invitations expire 14 days after they are created or resent. Each invite has up to three buttons:

  - **Copy invite link** — available right after an invitation is created or resent. If it isn't offered when you return to the page, use **Resend invite** to generate a fresh link.

  - **Resend invite** — refreshes the invitation and generates a new copyable link.

  - **Revoke invite** — cancels the invitation after you confirm. The link stops working immediately.

## Who can invite

Owners and admins can invite Admin, Team lead, Recruiter, Coordinator, Sourcer and Viewer roles. Team leads can invite Recruiter, Coordinator, Sourcer and Viewer roles. You can't invite or assign a role above your own.

Owners and admins can also revoke invitations and manage member roles. Team leads can send and view invitations, but not revoke them.

## Seats

Your workspace has a seat limit. The top of the Members page shows *"X of N seats used"* and how many are available — **active members plus pending invites** count toward the limit, so revoke stale invitations if you're at capacity. Former members don't use a seat. If you're out of seats, **Invite members** is blocked with a message saying why. See [Billing & seats](/support/articles/billing-and-seats/).

## Changing roles

Owners and admins can change a member's role from the dropdown in their row. Moving someone into or out of an admin role asks you to confirm first. Your own row is locked: you can't change your own role or remove yourself from the Members page, and a workspace always keeps at least one owner or admin.

The **⋯** menu in a member's row also has **Data export allowance…** (for non-admins) and **Resend sign-in link**, which emails them a one-time link to set a password and sign in.

## Removing a member

Open the **⋯** menu in their row and choose **Remove from workspace…**. They lose access immediately. The dialog shows what they own — open tasks, candidates, other records and pending reviews — and asks who to hand it to (you, by default). You can also choose **Leave unassigned instead**, but unassigned work won't show in anyone's queue.

  - **Keep their records under their name** — tick this to leave the records they own under their name, marked as left. Only their open tasks and reviews are handed over, and placement credit stays with them.

  - **Placement credit** — otherwise, choose whether their share of placements moves to the new owner, is shared out among the other consultants, or stays with them as a historical consultant.

  - **Synced email, messages and calls** — if they connected their own accounts, choose **Keep** or **Delete** for what those accounts synced.

Their notes, emails and activity history stay and keep their name. A toast confirms what moved, with **Review handover** to see the handed-over tasks.

## Former members

People who left appear under **Former members** on the Members page (owners and admins only), with when they left and what is still under their name. Former members can't sign in and don't use a seat. To hand their records to someone later, choose **Move records…**, pick the member and which kinds of records to move. Only ownership moves: placement credit, notes and history keep the former member's name. For the whole leaving process, see [When a teammate leaves](/support/articles/when-a-teammate-leaves/).

> **TIP:** Invite email never arrived? Choose Resend invite in Pending invitations, then Copy invite link and send it over Slack or WhatsApp. Resending replaces the old link, so share the newest one.
