# Formatting and sending a CV

> Create a branded or anonymized CV, review the draft, download a client copy and send it from Kepler.

_Collection: Companies, Contacts & Candidates (records) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/formatting-and-sending-cvs/_

Turn a candidate’s profile or one of their CVs into a branded, editable CV for a client, then download it or send it from Kepler. Creating and editing formatted CVs requires permission to update candidates.

## Create a formatted CV

  - Open the candidate’s **Profile** tab and click **Create formatted CV**. It is built from the Profile, not the original CV file. To start from one particular CV instead, open the **Documents** tab and choose **Format CV** from that CV’s **⋯** menu. A job pipeline’s candidate panel also has **Format CV**.

  - The editor opens straight away with a new draft, using your workspace’s default template.

  - Use **Template** in the editor’s top bar to switch template, and rename the draft from its name. If no templates are available, ask someone with access to **Settings → CV templates** to add one.

  - Click **Download PDF** or **Download DOCX** (the other format is in the arrow menu beside it). The editable draft stays in **Formatted CVs** on the Documents tab.

The editor’s **AI** menu can rewrite the draft for you — for example **Tailor to job**, **Translate**, **Convert to third person** or **Format dates**. Its changes are shown for you to accept or reject (**Accept all** / **Reject all**, or step through them with the arrows).

## Anonymized CVs

To remove the candidate’s name, contact details and employers, use the arrow beside **Create formatted CV** and choose **Create anonymized CV**, or run **Anonymize** from the editor’s AI menu. Each change is highlighted for you to check. A draft shows the **Anonymized** badge once at least one change is applied; click the badge to turn anonymization off and put the candidate’s own wording back. If a section couldn’t be anonymized, the editor says so — retry it or edit it by hand before the CV goes to a client.

Anonymized copies made when you share candidates to a [client portal](/support/articles/sharing-candidates-with-clients/) are listed in Formatted CVs too. **Regenerate** in a copy’s **⋯** menu rebuilds it from the source CV and discards your edits on it.

> **NOTE:** Cover sheets append the original CV and produce PDF only. They can’t be used for anonymized CVs, because the original CV would be appended unchanged. Check the original attachment before sharing it.

## Brand the original CV

When your workspace has uploaded a banner or logo under **Settings → CV templates** (**CV brand**), a PDF or Word CV’s **⋯** menu also offers **Brand original CV**. It keeps the candidate’s own file and adds your banner and logo. In the editor, choose where the banner and logo go and on which pages, and drag on the **Mark up** view to cover any text you want hidden; **Preview** shows the PDF as it will be sent.

## Review and edit the draft

Click a draft’s name in Formatted CVs to open it in the editor. Review the document preview alongside its sections, then edit the content you want to tailor for the client. Watch for **Saved** at the bottom before leaving; if the editor says **Couldn’t save**, choose **Retry**.

Download the reviewed draft from the editor, or from the draft’s row in Formatted CVs. The alternate output format is available from the arrow menu, except for cover sheets. If a draft was saved but its file failed to generate, retry the download from that draft.

## Send the CV

  - Choose **Send** from the editor or the draft’s row in Formatted CVs. The **Send CV** panel opens and shows whether it’s the **Full CV** or an **Anonymized** one.

  - Under **Sending for**, choose **A job** and pick it, or **Speculative**. For a job, **To** fills with the job’s hiring manager; change it or add other client contacts. Each contact gets their own email.

  - Choose **Email attachment** (one email from your mailbox with the CV attached) — or **Share to portal** when the job’s client portal is on — and click **Continue to email**.

  - The email composer opens with the CV attached. Review the recipient, attachment and message, then send the email. Nothing is sent until you do.

The draft’s **Sent to** information and send history help you see where it has gone. See [Sending email from Kepler](/support/articles/sending-email/) for the connected-account and compose workflow.

## Keep client copies current

Existing drafts do not automatically become a new client copy when the candidate’s profile changes. When a draft shows **Profile changed · Rebuild** in Formatted CVs (or the editor says **Profile changed since this draft was created**), click **Rebuild** to create a new draft from the current profile. The original draft is kept; review the new one before sending.

Use **Duplicate** from a draft’s **⋯** menu for another editable version. Open the file’s version menu to download an earlier generated file. **Delete draft** removes the editable draft but keeps previously generated files in version history; files belonging to deleted drafts remain listed under **Files from deleted drafts**.
