# Fees, aftercare & billing

> Record the money side of a placement — fee, Consultants, rebates, guarantee terms and automatic reminder tasks.

## Check the fee and currency

  - Open the placement and select **Fees**.

  - Check the currency beside the **Fee** amount. A placement created from a job inherits the job's currency; for a direct client placement, select the currency you agreed with the client.

  - Enter or review the **Fee** — this is the headline fee income used in reporting. **Net fee** and **Gross fee** are optional supporting figures under **Net and gross**.

  - Review **Consultants** on the **Details** tab and save any share changes there.

When creating a placement without an entered fee, Kepler can use the job's fixed fee. For a percentage fee, it can calculate the amount from the job's fee percentage and the placement's **Base salary**, when both are available. Check the resulting fee against the agreed deal; entering salary or rate details alone does not guarantee that a fee has been calculated.

## Who can see fees

Placement fee amounts — **Fee**, **Net fee**, **Gross fee** and **Rebate amount**, and each consultant's share of the fee in money — are visible only to people with finance access: by default the **Owner**, **Admin** and **Finance** roles. For everyone else:

  - The **Fees** tab and the fee fields don't appear, and fee columns are left out of the Placements list, exports and the Jobs list's **Placed fees** column.

  - Fee filters, sorts and groupings aren't available. A saved view that a finance user shared still opens, without its fee rules.

  - Fee amounts are left out of History, the assistant and the API.

  - Consultants and their percentage shares stay visible to everyone.

If you need to see fees, ask your workspace admin about your role. A job's own fee terms (fee type, percentage or amount) are visible to everyone who can open the job.

## Consultants and shares

On the placement's **Details** tab, record the **Consultants** who shared the work and each person's **share**. The first line is the **Lead**. Shares must total **100%**, and a placement must have at least one consultant. Anyone who can edit the placement can edit the shares. Names and shares are visible to everyone; the money each share represents is visible only with finance access. Shares feed the **Consultants** dashboard and consultant-level performance reporting.

## Rebates

The placement's **Billing** tab tracks rebates. Set the **Rebate status** (None, At risk, Due, Credited or Waived) when a placement falls off inside its guarantee. People with finance access also record the **Rebate amount**.

## Aftercare, guarantee and extensions

The placement's **Aftercare** tab holds the dates that matter after the start:

  - **Guarantee end** — the end of the rebate/replacement window you've agreed with the client.

  - **First day check-in** and **Probation check-in** — planned post-placement check-ins with candidate and client.

  - **Extension reminder** — for contract placements, when to review an extension.

  - **Aftercare notes** — anything else to remember.

## Automatic reminder tasks

**Date changes create reminder tasks automatically.** Set or change a check-in date, the guarantee end or the extension reminder and Kepler creates or updates a linked task for the placement's recruiter at the right time — guarantee and extension reminders arrive as high priority — so a fall-off inside guarantee or a contract end never arrives unannounced. If no recruiter is set, the task is assigned to the person making the change. Clearing a date removes its open reminder task. The tasks appear in **Tasks** like any other, linked back to the placement.

## Reporting on the money

  - The **Placement Finance** dashboard in **Reports** tracks agreed fee income, rebate exposure, guarantee fall-offs and fee shares by consultant. It's listed only for people with finance access.

  - The **Consultants** dashboard breaks placement counts and shares down by consultant for everyone who can see placements; its fee-share figures show only with finance access. With finance access, custom reports can break fees down by consultant, client, period or placement type — see [Reports & analytics](/support/articles/reports-and-analytics/).

> **NOTE:** Kepler is the system of record for the deal : the agreed fee, who shares it, rebates and aftercare. It doesn't raise invoices, track payments or sync with accounting software, so invoice and collect through your accounting system as usual.
