# Connecting Google & Outlook

> Link your accounts, understand what each provider syncs, monitor sync health, and disconnect safely.

_Collection: Email, Calendar & Meetings (email-calendar) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/connecting-gmail-outlook/_

Kepler connects your communication accounts under **Settings → Connected accounts**. Once connected, threads attach to matching candidates, contacts and companies automatically, CV attachments are captured, and AI triage can work your inbox.

## What each provider syncs

| Provider | Syncs |
| --- | --- |
| Google | Gmail and Google Calendar — mail history plus meetings. |
| Microsoft | Outlook mail and Outlook calendar — mail history plus meetings. |

A connected mailbox shows its calendar as a row underneath it. Events you've marked private in your calendar are never synced.

> **NOTE:** This page also has a WhatsApp tab for linking your personal number. See Connecting your WhatsApp number .

## Connecting

  - Go to **Settings → Connected accounts**.

  - Click **Connect** next to Google or Microsoft. Kepler shows what the workspace will see from this mailbox; choose **Change** to pick another [sharing level](/support/articles/email-privacy-and-sharing/).

  - Choose **Continue to Google** (or **Continue to Microsoft**) and complete the provider's consent screen.

  - Back in Kepler you'll see **Mailbox connected**. Kepler then imports your recent mail history. A large mailbox can take a while; if the import is interrupted it carries on from where it stopped instead of starting again, and mail that arrives meanwhile is picked up afterwards.

Team members each connect their own accounts — one Google and one Microsoft mailbox each — so a workspace can have many connected mailboxes.

## Gmail while Google reviews Kepler

Google is still reviewing Kepler's Gmail access, so for now Kepler turns Gmail on workspace by workspace. Outlook works straight away.

  - If the Google row shows **On request**, choose **Request Gmail**, add a note if you like, and choose **Send request**. Kepler replies within one working day, usually the same day. The row shows **Requested** until then.

  - Where Gmail is on, the connect dialog explains that **Google will show a warning first**: a screen saying "Google hasn't verified this app". Click **Advanced**, then **Go to keplercrm.com (unsafe)**, tick Gmail and Calendar and press **Continue**. Prefer to wait? Choose **Not now, email me when it's ready** and Kepler emails you once Google approves.

## Sync status & health

Each mailbox row shows a status badge — **Pending**, **Syncing…** or **Synced** (with how long ago). When something is wrong, the badge names the problem and offers the fix beside it: **Sync stalled** or **Connection issue** with **Retry sync**, **Reconnect required** with **Reconnect**, or **Access required** with **Grant access**. Select **Manage** for the mailbox's **Sync** details — status, progress, last attempt, last success and the last error — and **Resync** (or **Recover sync** when stalled). The row's **…** menu also offers Resync and **Disconnect**. See [Email sync issues](/support/articles/email-sync-issues/).

The **Manage** sheet is also where you add [individual sharing](/support/articles/email-privacy-and-sharing/) and keep a **Protected participants and blocklist** for this mailbox.

## Disconnecting — what's removed and what's kept

Disconnecting an account stops sync immediately and **removes the account's synced data from the workspace**:

  - **Removed:** synced emails and their attachments, their contribution to communication history (last-interaction and relationship signals), and the calendar events and meetings synced from this account.

  - **Kept:** your company, contact and candidate records (untouched), and all **call recordings, transcripts and meeting notes**, along with the meetings they belong to. Note Taker output survives a disconnect.

  - **Paused:** campaign sending from this mailbox.

Reconnecting the same mailbox later imports its history again.

> **WARN:** Disconnecting is immediate and removes synced mail for the whole workspace — if you only need to fix a broken sync, use Resync or reconnect instead.
