# Calendar & scheduling meetings

> See your meetings in Kepler, schedule new ones linked to records, and power the scheduler and AI Note Taker.

_Collection: Email, Calendar & Meetings (email-calendar) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/calendar-sync/_

The **Calendar** page shows your meetings inside Kepler — and a connected calendar is the foundation for two more features: [booking links](/support/articles/booking-links/) (others book into your real availability) and the [AI Note Taker](/support/articles/ai-note-taker/) (which covers the online meetings on your calendar).

## Connecting

Calendars ride on your connected accounts: **Google** syncs Google Calendar and **Microsoft** syncs Outlook calendar. Connect either under **Settings → Connected accounts**; your events appear and stay in sync automatically.

## Scheduling a meeting from Kepler

Click **Schedule meeting** on the Calendar page, or click an empty slot in the calendar:

  - At the top, choose **Google Calendar invite** (or **Outlook Calendar invite**), or **Kepler only** to log the meeting on the linked records without sending an invite (the button then reads **Log meeting**).

  - Title, date and time (with timezone and all-day options), location and message.

  - **Add guest** — guests receive a normal calendar invitation.

  - A **Google Meet** or **Microsoft Teams** link is added by default, depending on which calendar the meeting is created in. Choose **Use a location instead** to enter a place, or **Add Google Meet link** / **Add Microsoft Teams link** to bring the link back.

  - **Link records** — attach candidates, contacts, companies or jobs, and the meeting appears on those records' **History** timelines. Linking a person with an email adds them as an attendee automatically.

You can also schedule from a record: open its **Calls** tab and choose **Schedule meeting**, or choose **Meeting…** under Schedule in the record's **Add activity** menu. The meeting is linked to the record. When the [AI Note Taker](/support/articles/ai-note-taker/) captures it successfully, its recording and notes appear in Calls; scheduling alone does not record a meeting.

No calendar connected? Kepler asks you to connect Google or Outlook first, because invites are sent from your calendar. To record a meeting that has already happened, use **Log meeting** from the menu beside **Add note** on the record's Notes tab, or **Meeting** under Log in the **Add activity** menu.

## What you see

  - Your schedule inside the CRM — no tab-switching between calls.

  - Meetings with online links (Zoom, Google Meet, Microsoft Teams) are recognised — these are the meetings the Note Taker can cover.

  - Meetings booked through your [booking page](/support/articles/booking-links/) land here too, since they're created directly in your connected calendar. Switch the toolbar from **Calendar** to **Bookings** to list them, approve requests, move or cancel them.

## Privacy

Your calendar is yours: connecting it doesn't publish your events to the workspace, and events marked private in your calendar are never synced. Booking-page visitors see only the free times worked out from your calendar — never event titles or attendees.

> **NOTE:** Calendar connection is per-user, like email. Each teammate connects their own calendar under their own account.
