# Booking pages (scheduler)

> Share a booking page with your meeting types, or a private link for one person; guests book straight into your calendar within rules you set.

_Collection: Email, Calendar & Meetings (email-calendar) — Kepler Help Center. Canonical: https://keplercrm.com/support/articles/booking-links/_

Stop the "does Tuesday 3pm work?" ping-pong. Kepler gives every user a booking page that lists their meeting types. Share the link, and candidates or clients pick a time that's genuinely free in your connected calendar.

## Setting up

  - Connect your Google or Outlook calendar first (see [Calendar & scheduling](/support/articles/calendar-sync/)). Until you do, the booking page can't be turned on.

  - Go to **Settings → Scheduler**. The first time, choose **Create your booking page** and start from a template.

  - At the top of the **Meeting types** tab, turn on **Taking bookings**. Use **Copy link**, **Share** or **Open page** to send or check it.

The **…** menu beside it offers **Change link** (a link that's easy to read out; your original link keeps working) and **Make a new random link** (the previous random link stops working straight away).

## Meeting types

Choose **New meeting type** and start from **Screening call**, **Client briefing**, **Interview** or **Blank**. Each type has its own settings:

| Tab | What you set |
| --- | --- |
| Basics | Title, link, description, the lengths guests can choose (one marked as the default), and the location: video call, phone call, in person or somewhere else. |
| Hours | A reminder of your hours. Every meeting type uses the same hours, set on the Scheduler page's Hours tab. |
| Limits | Minimum notice, how far ahead guests can book (up to a year), space before and after meetings, start times, limits per day or week, and how many upcoming bookings one guest can hold. |
| Questions | Name and email are always asked. Add your own questions: short or long text, number, select, checkbox, phone, link or other guests. |
| Advanced | You approve each booking (every booking, or only those booked at short notice), Hidden from your page (bookable only through a direct or private link), and a message or page to show after booking. |

## Your hours and time off

The **Hours** tab holds your timezone and **Weekly hours**. Under **One-off changes**, choose **Add a change** to set different hours on particular dates or mark a day unavailable. Under **Time off**, choose **Add time off** for a holiday or leave (up to a year at a time); the reason is only shown to you. Guests see times converted to their own timezone.

The **Branding** tab sets how your booking page looks.

## Private links for one person

To invite a particular candidate or contact, open their record's menu and choose **Send booking link**. Pick the meeting type, optionally a job, and whether the link works for one booking, until a date, or with no limit. Then **Copy link** or **Write email**. The booking is logged on that record.

In the email composer, **Insert booking link** offers a private link for the person you're writing to (when the email goes to one candidate or contact), **Private link with options…**, or your public booking page.

## What the guest experiences

  - They open your page, choose a meeting type, then a length, date and time, in their local time.

  - They enter their name, email and your questions, plus an optional note, and choose **Confirm booking**, or **Send request** if you approve bookings.

  - The meeting is created in your calendar and the guest receives a calendar invitation from it. The confirmation page and the invite carry links to reschedule or cancel.

For confirmed bookings, Kepler sends no separate confirmation email: the calendar invitation is the confirmation, and reschedules and cancellations update it. Only for types you approve does Kepler email the guest that their request was received, declined or has expired.

## Approving and managing bookings

Booking requests appear in [Notifications](/support/articles/notifications/) and on **Calendar → Bookings**, where you **Approve** or **Decline** (with an optional reason). A request nobody answers expires at its start time. The Bookings view also lists upcoming, past and cancelled bookings, and lets you move or cancel a meeting.

A booking is logged as a meeting on every candidate or contact whose email matches the guest's.

## Prefer Calendly or similar?

In the **…** menu, choose **Use another scheduler** and enter your scheduler's URL. Your Kepler booking page is turned off, and Kepler's booking-link buttons and **Insert booking link** use that URL instead. Choose **Use Kepler booking again** to switch back; your page comes back off, so turn on **Taking bookings** when you're ready.

> **TIP:** Put your booking link in your email signature and outreach templates. Pair it with the AI Note Taker and a booked screening call comes back as structured minutes without you touching a notepad.
